
Facilities Tips for Moving

Tips for Moving or Rearranging Your Office at the Community College of Aurora
The following suggestions or directions are offered to assist you in the upcoming move
or rearrangement of your office at the college. We will do all we can to make your move
with the least possible disruption. We do ask for your cooperation and understanding as we
are not fully staffed or funded for the moving program.
SUGGESTIONS/DIRECTIONS:
- Plan your move as far in advance as possible. When you sure of your new
location submit Work Orders for moving services and changes in
telephone or information technology services. A Key Request Form must also be
completed for keys to your new office. Facilities has 8 1/2" X
11" floor plans indicating room locations and numbering schemes if you need copies.
Please remember to return your old keys, which you will no longer need.
- Boxes can be obtained from Facilities. But, plan ahead, since we do not
maintain a consistent supply of boxes. Before you fill a box, it needs to be taped at the
bottom, not crossfolded. Please use strapping or filament tape. (Note: Please close all
tops as contents of open boxes may fall out and become damaged during moving.)
- Please use masking tape for labeling your boxes -- not Post-It Notes (they fly off
easily and become lost), label all boxes, fragile items, and furniture. The requestor or
department must complete all packing prior to the scheduled moving date.
- Please limit the weight of each box to that which can be lifted by one person. As
an example, a good rule of thumb is to pack no more than one bookcase shelf of books into
one box.
- Desks may have to be placed on end or on their side in order to fit through doors
or onto elevators. If the desk drawers are locked, your items will stay secure but will
not remain in place. We suggest that you empty your drawers, leave them unlocked, and
reorganize your desk in the its new location.
- Oversized or fireproof file cabinets will need to be emptied. The movers will be
able to better advise you when they see your specific furniture as to the best way to
prepare it for moving.
- Counters, credenzas, and bookshelves must be emptied and items boxed.
- A drawing of how you want your new office arranged is most helpful or the movers
will just place the items as they assume you would like it. Before moving, we suggest
taping a drawing to the top of your desk showing the furniture layout.
- Contact Eduardo Peralta, ext. 7433 for any computer
needs. Information Technology will disconnect your equipment, prepare it for moving,
and transport it to your new location. The moving of computer equipment is the
responsibility of the Information Technology Department.
- Submit separate Work Orders for items that need to be removed from the walls.
Facilities staff members will remove and reinstall these items in your new office as soon
as possible.
- Please do not remove bulletin boards or chalkboards from your office or work
area. These are to be used by the new occupants. Your department will need to order new
bulletin boards or chalkboards, if needed, for your new office or work area.
- It is recommended that only the Facilities Department staff move desks and other
furniture. If you wish, you can move personal items, plants, and light weight items.
- After you are moved into your new location and have emptied all of the boxes,
please call the Facilities Department, ext. 7430, for pickup and reuse. Please Do Not
break them down or take them apart.
- Contact the Linda Arman in the Purchasing Department, ext. 4764, if you need to have a copy machine
moved. Movement of copy machines must be done by the machine vendors.
If you have any additional questions or require any special assistance, please feel
free to contact the Facilities Department. Again, we will move your materials and
furniture to the best of our ability. Your cooperation and understanding is appreciated.
